Attendance & Scheduling module
Every clock-in,
actually verified.
Face recognition confirms who it is. A GPS geofence confirms where they are. From a phone, a shared tablet or an external terminal at the gate — and hours flow into payroll without anyone typing a register into Excel.

Ngozi Umeh clocked in at 07:58. Overtime from yesterday’s late shift applied automatically.
The problem
Attendance fraud isn’t
a rounding error.
On a 200-person payroll, ten minutes of buddy punching a day is roughly a full-time salary a year. Paper registers and shared ID cards can’t tell you it’s happening.
TODAY
A colleague signs you in
Cards get shared, registers get filled in retrospectively, and the person stuck in Third Mainland traffic is marked present at 08:00.
TODAY
Field staff are unverifiable
Drivers, technicians and merchandisers phone in their hours. You either trust the number or spend a day reconciling it.
TODAY
Month end is manual
Someone keys a register into a spreadsheet, calculates overtime by hand, and payroll waits on it. Errors surface after the money has gone.
How it works
Four steps, two seconds.
From the employee’s phone, a shared tablet at reception, or a wall-mounted terminal at the gate — your choice.
STEP 01
Enrol once
Each employee registers their face from their own phone during onboarding. Thirty seconds, once.
STEP 02
Verify identity
Liveness detection rejects photos and video replays. Matching runs on-device, so it works with no signal.
STEP 03
Confirm location
GPS is checked against the geofence for that site or shift. Outside the zone, the clock-in is flagged, not blocked.
STEP 04
Feed payroll
Verified hours, overtime and absences post straight to the payroll run. Nothing is re-keyed.
In the product
What HR sees each morning.
One screen for the whole register. Exceptions surface at the top; everything verified stays quiet.

Privacy by design
Biometrics without
the biometric risk.
Face recognition raises fair questions from staff and from the NDPR. Here is exactly how Qadra handles it — and what you can tell your team.
- No photographs stored. Enrolment produces a one-way mathematical vector. The image is discarded on the device.
- Not reversible. A stolen vector cannot be turned back into a face, and it is useless outside your tenant.
- Consent is recorded. Each employee accepts biometric enrolment explicitly, with an audit trail and a documented opt-out route.
- Location only at clock-in. Qadra reads GPS at the moment of punch. There is no background tracking, ever.
STORED
Encrypted vector
512 floats, AES-256 at rest, scoped to your tenant key.
NEVER STORED
The image
Frames are processed in memory and dropped immediately.
RETENTION
Deleted on exit
A leaver's biometric record is purged within 30 days.
COMPLIANCE
NDPR aligned
Subject-access and erasure requests handled in-product.
Edge cases
The awkward situations,
already handled.
Every one of these came out of a real customer rollout.
No network at the gate
Matching happens on-device. The punch queues locally and syncs when signal returns, with the original timestamp preserved and marked as offline.
Phone left at home
A shared tablet or an external wall-mounted terminal works as a kiosk for the whole site. Same face check, no personal device needed.
Genuinely off-site
Client visits and field work clock in anywhere and route to the manager for one-tap approval, with the location attached.
Staff who decline biometrics
Fall back to a PIN plus geofence per employee. The policy is configurable, and the opt-out is logged for compliance.
Night shifts crossing midnight
Shifts are defined by pattern, not calendar day. Overtime, night premiums and public-holiday rates apply automatically.
A poorly lit warehouse
Low-light matching is tuned for it. Below the confidence threshold the punch is accepted but flagged, so nobody is locked out of work.
Run it on one site first.
Pick your hardest location, enrol the team in an afternoon, and compare a month of verified clock-ins against your register.
